Terms of Service
Effective date: April 10, 2026
These terms govern your use of the OpenBin application and OpenBin Cloud service operated at cloud.openbin.app. By creating an account or using either the cloud-hosted or self-hosted version, you agree to these terms.
If you do not agree, do not use the service.
Definitions
- OpenBin refers to the open-source inventory management application.
- OpenBin Cloud refers to the managed hosting service at cloud.openbin.app.
- Self-hosted refers to running the OpenBin application on your own infrastructure.
- We, us, our refers to the developer and operator of OpenBin.
- You, your refers to the person or entity using OpenBin.
Account and eligibility
You must be at least 13 years old to create an account. You are responsible for keeping your login credentials secure and for all activity under your account. One person or legal entity per account. Do not share accounts.
If you suspect unauthorized access, contact us immediately.
Cloud service
OpenBin Cloud provides managed hosting so you do not need to run your own server. Cloud accounts include automatic updates, managed backups, and access to AI features depending on your plan.
Three plans are available:
- Free — basic inventory management, no cost
- Plus ($3/month) — expanded limits and additional features
- Pro ($6/month) — full feature set including advanced AI capabilities

Self-hosted license
The OpenBin application is licensed under the GNU Affero General Public License v3.0 (AGPL-3.0). You may run, modify, and distribute the software under the terms of that license.
When you self-host, you are responsible for your own infrastructure, security, backups, and updates. We do not provide support or guarantees for self-hosted instances beyond what the open-source license requires.
Pricing and billing
Paid plans are billed monthly through our billing portal at billing.openbin.app. Prices are listed in USD.
You can cancel your subscription at any time. When you cancel, your account drops to the Free tier at the end of the current billing period. No refunds are issued for partial months.
We may change pricing with 30 days notice. Active subscribers will be notified by email before any price change takes effect.
Free trial
The Plus plan includes a 7-day free trial. No credit card is required to start the trial. When the trial ends, your account drops to the Free tier unless you add a payment method and subscribe.
Trial accounts have the same capabilities as paid Plus accounts for the duration of the trial.
Acceptable use
You agree not to:
- Use the service for anything illegal in your jurisdiction
- Attempt to gain unauthorized access to other accounts or our infrastructure
- Interfere with the service's operation or impose an unreasonable load
- Upload malware, scripts designed to exploit the service, or harmful content
- Resell access to your OpenBin Cloud account
- Use the service to store regulated data (medical records, financial data subject to compliance requirements) unless you have independently verified compliance for your use case
- Scrape, crawl, or automated-access the service beyond normal API use
We may suspend or terminate accounts that violate these terms.
Data ownership and export
Your data belongs to you. We do not claim any ownership or license over the inventory data, photos, or other content you store in OpenBin.
You can export your data at any time through the application's built-in export features (CSV, JSON, and spreadsheet formats). This applies to both Cloud and self-hosted users.
If you delete your account, we will delete your data from our servers. Backups may retain copies for up to 30 days after deletion before being permanently removed.
AI features and third-party services
OpenBin's AI features (photo analysis, smart suggestions, AI assistant, reorganization) use third-party AI providers including OpenAI, Anthropic, and Google Gemini.
When you use AI features, relevant data (such as photos you upload for analysis) is sent to these providers for processing. Each provider has its own terms of service and privacy policy. We select providers that do not train on customer data, but we encourage you to review their policies independently.
AI features are optional. The core inventory functionality works without them.
Service availability
OpenBin is an early-stage product built by a solo developer. We do our best to keep OpenBin Cloud running, but we do not guarantee any specific uptime percentage or offer a service level agreement (SLA).
Planned maintenance, unexpected outages, and bugs happen. We will communicate disruptions through our Discord community when possible.
Self-hosted availability depends entirely on your own infrastructure.
Termination
You can delete your account at any time. We can suspend or terminate your account if you violate these terms, abuse the service, or if we need to discontinue the service.
If we terminate your account without cause, we will give you reasonable notice and an opportunity to export your data.
If we decide to shut down OpenBin Cloud entirely, we will provide at least 30 days notice and assist with data export and migration to self-hosted instances.
Limitation of liability
OpenBin is provided "as is" without warranties of any kind, express or implied.
To the maximum extent permitted by law:
- We are not liable for any indirect, incidental, special, consequential, or punitive damages
- We are not liable for data loss, whether caused by bugs, outages, security incidents, or account termination
- Our total liability for any claim related to the service is limited to the amount you paid us in the 12 months preceding the claim
- For free accounts, our total liability is zero
You are responsible for maintaining your own backups, especially for self-hosted instances.
Indemnification
You agree to indemnify and hold us harmless from claims arising from your use of the service, your violation of these terms, or your violation of any third party's rights.
Changes to terms
We may update these terms. When we do, we will update the effective date at the top of this page. For material changes, we will notify active Cloud users by email at least 14 days before the changes take effect.
Continued use of the service after changes take effect constitutes acceptance of the updated terms.
Governing law
These terms are governed by the laws of the United States. Any disputes will be resolved in the courts of the state where the operator resides.
